Faculty Reserve Letter - College of Charleston Libraries

August 11, 2010

Dear faculty,

We are ready to begin processing “electronic and hard copy” reserve materials for the fall.  I hope this letter finds each of you well, as we prepare to move from summer break into the fall semester.  The library and the Circulation department want to ensure that you are well informed of updates and changes made to our electronic and traditional reserve services before we transition into another academic semester.  Also, we hope you will find these updates and changes to be timely, efficient and helpful.

The Reserve Process

Please bring the separate collated articles along with citations since all paper documents must be scanned before they can appear on your electronic course page.   Please bring the best quality copy to be scanned.  Also, be sure to include the title as it appears on the course syllabus.  Although, we try to process reserves as quickly as we receive them, please keep in mind there is a 72 hour processing period.  Due to the number of reserves we receive at the beginning of a semester, it may be even longer.  It is very important that you submit the electronic reserve form before sending your reserve documents.  You may access the reserve form at http://www.cofc.edu/library/faculty/eres/course/index.php.  Sending the documents before submitting the form will delay processing.  For those who may want to put articles from microfilm on reserve, the library has added a state of the art microfilm scanner. Please be advised due to time constraints we are unable to scan your microfilm documents.

Also, in the summer of 2009 the Shelving Department merged with the Circulation Department.   As a result of the merger, we are pleased to offer you some additional services.   We are prepared, upon request, to retrieve books from the library’s collection to be processed for faculty hard copy reserves.  However, we are unable to make photo copies from books or journals at this time.

If you are using our electronic reserve system for the first time or have in the past and wish to manage and maintain your own course page, you may do so by contacting the Circulation Department and scheduling an appointment.  Faculty members who manage their own electronic reserve pages are responsible for adhering to copyright guidelines.

Students can request and purchase course packs thru the College bookstore or an outside company such as SasE-ink, A&E, etc.  A percentage of the revenue generated from course packs requested and sold thru the bookstore goes toward CofC scholarships.

If you are not in position to bring your reserve material at this time, please bring reserve items to be processed to the Circulation desk before 08.16.2010.  This will allow us to process your request more quickly and accurately.  Our objective is to have your material processed and available for your students the first week of classes.  Receiving reserve materials after 08.16.2010 may delay the processing and completion of your e-reserve course page.

We look forward to assisting you with your reserve materials this fall semester.  If you have any questions, please feel free to email us at reserves@cofc.edu or contact us at 953-8001.

Thank you.
